People

This page is used to view and contact orchestra musicians. Initially, all current orchestra members and substitutes are listed. The list can be filtered by instrument and membership status. The list can be sorted alphabetically by name or by status. Click on the appropriate column head to sort.

Click on an email address or phone number to contact one musician. To email multiple musicians, select musicians by checking the associated checkboxes and click Mail Selected People. Checking the topmost checkbox will select everyone on the list.

Similarly, the Export Selected People button will export the selected people in CSV format.

The Export All button will download all people (not just the filtered) and associated data in CSV format.

Administrators can add, delete and edit the musicians. Click on Add Person to add and click on a person's name to edit or delete. A form should appear after clicking. Fill in or change the information. Multiple instruments can be selected for a musician. On a Mac, Use the Cmd key to select more than one instrument. If a desired instrument is not on the list, go to Admin-Instrument to add it first.

To delete a person, check the Check to Delete checkbox and click Submit.

Administrators can also view and edit player notes and vaccination status.

Season

This page is used to view and manage orchestra seasons and the associated sets, performances and orchestral pieces.

The existing seasons in the database are listed in the selector at the top of the page. To add a season, type in the starting year in 4-digit format and click Add Season. Be careful when you do this because, currently, it is not possible to edit or delete seasons using the web interface.

Once a season is selected at the top, the associated sets of the season appear in the 'nextManage Sets section of the page. Here, you can add, edit and delete sets. Sequence Number is used to sort the sets chronologically.

Each set has associated performances and music pieces. These are managed in the Manage Performances and Pieces section of the page. First, use the selector at the top of this section to select the set you want to work on. Venues for performances must already be in the database before you can set them here.

Clicking on Add Performance or Add Piece will add a generic entry. This must be edited to enter the correct information about the performance or piece.

Pieces can be edited to change the performance order at any time. Two pieces could temporarily have the same order number while you're changing things around. The roster report will be inaccurate while two pieces have the same order number but once all the changes are made and the order numbers are unique, the report will be accurate again.

Player Status

This page is used to update plaer availability and vaccination status. Each player, when logged in, can update their status. An administrator can update the status of any player including vaccination verification.

Roster

Once a season with associated sets, performances and music pieces has been set up, the roster for each performance can be set up on this page.

First, select a season and a set. To add a player, select the instrument section and a selector with all the musicians who play that instrument will appear. As administrator, clicking on a musician name will bring up a form to enter the roles for that player.

Each performance will appear in a column. A Seat can selected for each piece/performance combination. Each Seat selector will have choices:

  • Not Assigned
  • Principal (or seat 1)
  • 2-9 (seat)

If a player is playing all the pieces in a performance, use the Select All sector in that column as a shortcut.

After all the roles have been selected, click on Save to save the entries and return to the Roster page. The added player will appear in the instrument section for that player. Columns for each performance will appear. At each cell will be symbols representing the roles for each piece for that player/performance.

Clicking the Show Set Players will bring up a printable roster for the selected set. Using the checkboxes, it is possible to email each player on the list. The roster can also be exported as a CSV file.
